Role Overview:

We are seeking an individual to bring consistency and drive to our national PMO operations, resource management, and forecast revenue processes. The ideal candidate will showcase a strong sense of project governance – you’ll be the classic dot the I’s and cross the T’s member of the team. Details are your go-to; for that reason, you’ll be in charge of ensuring a well-resourced, highly-billable team, reporting on forecast revenue across our services team, ensuring timesheets and project status reports are completed week-on-week, and overall project health for our delivery team. As the role will be primarily focused on internal activities, the need may arise to handle some light office management tasks, although it’s not expected that these will take more than 15-20 minutes every day.

Stuff we’ll trust you with:

  • Be the go-to person for resource management across our organisation.
    • Help us achieve operational efficiencies across our national delivery team by ensuring our Consultants are as billable, productive and well-utilised as possible.
    • Communicate resourcing changes and challenges.
    • Liaise directly with our Delivery Managers and National Delivery Director to understand challenges facing our Consulting team and ongoing projects. 
    • Be the glue that holds our delivery teams together from a resourcing perspective.
  • Help us capture vital information to ensure accurate forecasts of our services revenue. 
    • Work with project owners to understand how revenue is tracking across all active engagements in our business. 
    • Report to our Executive team on anticipated revenue, changes in expected billing, and impacts to resourcing and budget targets. 
    • Follow up any discrepancies between actual and forecasted billings. 
  • Contribute to, and potentially run/coordinate, our weekly National Operations meeting, which aims to resolve any issues relating to resourcing and project delivery, as well as promotes accuracy of project schedules. 
  • Manage expectations, on a project-by-project and client-by-client basis.
    • Communicate resourcing changes and updates both internally and externally. 
  • Understand our team’s technical capability – who does what, strengths and weaknesses, certifications and training goals etc – to better inform resourcing discussions and decisions. 
  • Make informed contributions to the decision-making process around hiring of new staff members. 
  • Ensure Project Status Reports are going out to clients for all active engagements.
  • Ensure timesheets are submitted across our delivery team every week. Follow up on individuals who fail to do so. 
  • Develop your technical capability with exposure to a range of Microsoft cloud applications and industry-leading disruptive Sensei-built Solutions. 
    • Become a subject matter expert in Sensei IQ – our flagship product, and its internal capabilities to ensure increased efficiencies across our team/s. 
  • Advance your technical ability and Project Management credentials with Microsoft PPM-specific tools, such as Project Professional and Project Online, the Office 365 suite and Dynamics 365. 
  • Ensure that projects are run as effectively as possible, providing support to our delivery team and sales team where required.
  • Work collaboratively with other members of the team and providing visibility to stakeholders (internal and external).
  • Provide an excellent level of service to clients, by providing them with appropriate responses, confidence in our delivery and friendly communication.
  • Solution testing, arranging and performing quality reviews, and finding other ways to support the team. 
  • Offer your thoughts and ideas on how we can all improve.
  • Given the relatively small size of our office, and as we don’t have a dedicated receptionist, be responsible for some light office management tasks, including grocery orders, stationary supplies, phone answering, and postage. 

Sound interesting? Here’s the key skills set you’ll need to qualify:

  • Previous experience in project administration, scheduling or project support. 
  • Great external listening skills – a key part of the role is listening to the client to *really* understand what the problem is (perhaps not the symptoms they are describing). 
  • Great internal listening skills – you will be exposed to some of the best PPM experts in the world, who not only understand PPM delivery but the business side of organisational strategic work planning and financial management. The ability to understand their motivations and what will make them successful in their role is key. 
  • Demonstrated experience dealing with clients in proactive and reactive situations.
  • Excellent written skills. 
  • Experience handling calls from clients, with the ability to manage and prioritise tasks.
  • Positive attitude and a willingness to develop your skills to progress your professional career.
  • Ability to be resourceful and develop general knowledge base or how-to articles.
  • Desire to be a key part of a team, have some fun and take pride in your work and helping others. 
  • Some office management experience could prove beneficial. 

Highly Desirable – Skills, Knowledge and Experience

  • Previous experience in Project Server/Online, Microsoft Project, Dynamics or Office365
  • Table-tennis skills, even if you don’t play – a willingness to give it a go!
